HMIS Monitoring

Dear Providers:

ACT is starting routine monitoring activities as required by HUD to manage user access, software, and security protocols to ensure data privacy and confidentiality. These activities have not taken place for some time, so ACT wants to make sure the process feels clear, supportive, and expected.

Monitoring efforts are described in the CT HMIS Memorandum of Understanding (MOU) and are meant to ensure HMIS Participating Agencies meet the self-certifications which focus on administrative and security requirements.

In advance of monitoring, agencies will have to answer preliminary questions and provide policies related to data use and security, if available. If an agency does not have polices related to data use and security, the person conducting the monitoring will ask questions related to those items to ensure alignment with the self-certifications.

Because there has not been HMIS monitoring for a while, the intent is that the results of monitoring work will be used to help inform technical assistance needs for participating agencies. If an agency has findings from the monitoring, ACT will work with you to help correct them.

Monitoring efforts are currently underway. Approximately 25%-33% of agencies will be selected for monitoring each year. If your agency is selected for monitoring, you will be notified via email in advance.
