Instructions on how to fix the duplicate problem in program enrollment inside Caseworthy.

Case 1: With same Enrollment ID# – Sharing Issue

It’s been discovered that when a client with two ID#’s is merged, sometimes in the Program Enrollment screen it shows the same enrollment twice (with same enrollment ID#). This can not be corrected by deleting one of the duplicates. If that is attempted, both enrollments disappear.

This is caused by overlapping Releases of Information/Sharing Exceptions.

Steps to fix:

  1. Go to Sharing Exceptions by Org screen
  2. Review to see if the releases overlap.
    Example: One release – start date: 3/4/2014 end date: 3/4/2016
    Second release – start date: 7/7/2014 end date: 7/7/2016.
  3. To fix this, you need to choose one of the releases and end it when the second one starts.

For above example: keep the second release dates as they are (7/7/14 to 7/7/16) and change the first release END DATE to 7/6/2014 (this will now look like: 3/4/2014 to 7/6/2014).

  1. Click back on Program Enrollment and the duplicate enrollment should have disappeared.

Case 2: With same Enrollment ID# – MemberEnrollment Duplication

  1. Check the Enrollment Member record and ensure the same client is enrolled in the same master enrollment record multiple times.

Case 3: With same Enrollment ID# – Current Address Duplication

  1. Check to see if there is more than one current address for the client. While technically allowable, this may cause visual duplication.
