Overview

The purpose of this KB article is to help CT HMIS Users understand the roles and responsibilities of a HMIS Data Coordinator (HDC).

HDC Roles and Responsibilities

  • You DON’T need to be a “techie”
  • You Do Need to do/be the following:
    • You will be your agency’s main HMIS person.
    • The HMIS users at your agency should go to you with HMIS problems.
    • If you don’t know the answer you or the staff person can email the help desk
    • You will be the main point of contact for Nutmeg on all HMIS related items.
    • All HMIS items/updates/issues will be sent to you for disbursement.
    • You may also have AHAR/PIT and NOFA responsibilities
    • Keep up on HMIS Changes

Data Quality and Reporting

  • Be the data quality overseer
  • Ensure all program data is entered into HMIS in a timely manner
  • Verify your data is accurate when it is time to run funder reports

Policies and Procedures

  • Review CTHMIS Policy and Procedures
  • Make sure client data is protected.
  • All clients sign HMIS ROI’s.
  • Client data protect practices are in place.

Ensure your HMIS users perform the following

  • Receive authorized HMIS training
  • Demonstrate proficiency in use of the software
  • Understand the Policies and Procedures as they apply to your role in the system.
  • Designate each individual’s level of access by submitting a Designation of Access (DOA) to Nutmeg Consulting
  • Notify Nutmeg Consulting when an HMIS system user leaves the agency or no longer requires access to the HMIS system.

Meeting Attendance and Communications

  • Attend the monthly HDC meetings.
  • Read CTHMIS announcements when they are sent out.
  • Check the CTHMIS.com website for updates on a regular basis.
  • Review the “CT HMIS user List for HDCs” email that is sent on a regular basis and ensure the list of active users is accurate.
  • Pass all information onto the other users in your agency.
