Dear Colleagues:

 

Hoping that your point in time (PIT) count activities are going smoothly. This is a reminder that data entry and confirmation for the PIT night – Tuesday, January 28th 2025 are due next Tuesday, 2/4/25. This deadline is particularly critical for Street Outreach programs as HUD only allows for a 7-day look-back period from the PIT night. Please review the information below for actions to take between the count date and deadlines, and more helpful resources.

Steps to take between 1/28/25 and 2/4/25, data due date:

  • All Programs: know where clients slept prior to confirming data
  • Unsheltered programs in particular must see person on night of count (Tuesday 10 p.m. or later) or speak to them by 2/4/25 to confirm where slept on 1/28 (Tuesday night)
  • HMIS Participating Sheltered Programs
  • Review data in PIT database for accuracy and confirm when correct.
  • If inaccurate, corrections must be made in HMIS
  • Rapid Rehousing (RRH) programs – confirm people counts and then review and confirm bed counts
  • Non-HMIS Sheltered Programs
  • Smartsheet programs complete smartsheets and share with Jim at Nutmeg by 2/4/25
  • Enter client data into the people count fields and confirm
  • HMIS Participating Unsheltered Programs
  • Complete a Current Living Situation Assessment (CLA) dated 1/28/25 for each person on caseload
  • Review data in PIT database for accuracy, make corrections in HMIS as necessary, and confirm when correct.
  • Non-HMIS Unsheltered Programs
  • Complete Smartsheet forms and share with Jim at Nutmeg
  • Once Smartsheet data imported to PIT database, confirm within 2 business days
  • For programs whose data is not imported, share with Jim by 2/4 and enter data into the appropriate programs within 2 business days of de-duplication by Nutmeg
